WhatsApp Campaigns Setup Guide | MyOperator

How do I create and run WhatsApp campaigns in MyOperator?

Quick Answer

A WhatsApp Campaign in MyOperator sends bulk promotional, transactional, or informational messages via Meta-approved templates. You need a Connected WABA account, an approved Marketing, Utility, or Authentication template, a correctly formatted audience list, and enough prepaid wallet balance—Meta charges strictly per delivered message and does not allow partial sends.

1. Prerequisites Before You Launch

  • Active WABA Account: Status must show Connected / Live under WhatsApp Accounts.
  • Meta-Approved Template: Create it under WhatsApp Templates and wait for Meta approval. Three categories exist:
    • Marketing – promotional offers, sales broadcasts, product updates, new launches.
    • Utility – order tracking, transactional updates, appointment reminders, billing receipts.
    • Authentication – OTPs, login verification codes, security alerts.
  • Target Audience List: Upload a CSV/Excel file with phone numbers in international format (e.g., +91XXXXXXXXXX) or pick a saved segment via Contacts Retargeting.
  • Sufficient Prepaid Balance: Your wallet must fully cover the projected cost. If the required amount is missing, the entire campaign fails; MyOperator cannot execute a partial list.

2. Meta Pricing & Outbound Reply Billing Rules

  • Per-Delivered-Message Model: You pay only when a message reaches the handset; failed or unsent messages cost nothing.
  • 1,000 Free Service Messages: Each business phone number gets 1,000 free agent/bot replies inside the 24-hour service window every calendar month.
  • Billing Beyond Allowance: After 1,000 replies, every additional service reply is billed individually.
  • Incoming Messages Are Free: Customer-initiated texts to your business incur no charges.
  • Template Billing: Marketing, Utility, and Authentication templates are always billed per delivered message, even if the customer service window is open.
  • Rate Check: For live category prices, see the MyOperator Pricing Page.

3. Step-by-Step Setup Inside the Panel

  1. Verify Prepaid Balance. Open Billing › Manage and confirm the wallet covers the contact count × template rate.
  2. Create & Submit a Template (if needed). Navigate to WhatsApp Templates › Create New, pick a category, name, language, draft the body, add variables such as {{1}} for the customer name, attach headers/footers or CTA/Quick Reply buttons, and click Submit. Meta approval takes a few minutes up to 24 hours.
  3. Launch or Schedule the Campaign. Go to WhatsApp Campaigns › Create Campaign. Enter a Campaign Name, choose the sending WABA number and an Approved template. Select your audience:
    • Method A – Upload CSV/Excel, then map variables (e.g., map {{1}} to the Name column).
    • Method B – Choose a filtered segment through Contacts Retargeting.
Pick Send Now or schedule a future date and time, and click Launch.

4. Meta Daily Messaging Limits (Tier Scaling)

  • Unverified Accounts (Embedded Signup): Maximum 250 unique business-initiated recipients per 24 hours. This cannot increase until Meta Business Verification is completed.
  • Meta Verified Accounts (Tier 1+): Start at 1,000 unique recipients per day and auto-scale to 10,000, then 100,000, and eventually Unlimited, provided you keep sending volumes steady and maintain a High Quality Rating.

5. Troubleshooting Delivery Failures

  • Meta “Healthy Ecosystem” Limit (Error 131049): Each WhatsApp user can receive only about 3–5 marketing messages per day from all businesses. Test by sending a Utility template; if that delivers, the failure is the per-user marketing cap.
  • Insufficient Prepaid Balance: If projected spend > wallet, the campaign aborts at launch.
  • Template Status Not Approved: Pending, Rejected, Paused (spam reports), or Deleted templates cannot be used.
  • Exceeded Daily Messaging Cap: Attempting 2,000 sends when your cap is 1,000 (or 250) will fail.
  • Account Status Errors: Campaigns fail when the phone number is RATE_LIMITED, RESTRICTED, DELETED, BANNED, or when WABA status shows Unreachable. In RATE_LIMITED, incoming chats still arrive but outgoing campaigns are blocked.
  • Invalid / Unregistered Numbers (Error 131026): Numbers lack a country code or are not on WhatsApp.
  • User Blocked or Opted Out: Recipients who blocked you or opted out will not receive messages.

6. Escalation Rules & Support Channels

  • Escalate to Your Account Manager for Meta Business Verification, custom per-message pricing, or assistance with automated CRM-triggered campaigns.
  • Internal Team → Tech Support: The support team escalates if logs show server-level API timeouts, webhook drops on approved templates, or scheduled campaigns that refuse to start despite valid templates and balance.
