How do I manage and report WhatsApp campaigns?

How do I manage and report WhatsApp campaigns?

Quick Answer

Use the WhatsApp > Campaigns dashboard to track status, drill into delivery metrics, cancel future sends and download detailed CSV reports for the last six months.

1. Campaigns Dashboard Overview

  • Shows past and scheduled campaigns (up to six months) in a sortable table (latest first, 10 rows per page with pagination).
  • Columns: Campaign Name, Created At, Scheduled At, Created By, Audience, Source, Delivered, Status and Action (⋯).
  • Filters: Date (Today, Yesterday, Last Week, Last Month, This Week, This Month, This Quarter, custom), Status (Completed, Scheduled, Failed, Cancelled), WABA Account.
  • Search by Campaign Name (case-insensitive, live results).
  • Credit Balance banner shows usable credits = total – reserved.
  • Create Campaign button (disabled if number inactive) and Export history shortcut to the Exported Campaigns page.

2. Campaign Detail Pages

Click any row to open a dynamic view that adapts to status.

Shared Metrics

  • Audience, Sent, Delivered, Failed, Read, Replied
  • Clicks (if link tracking was enabled)
  • Campaign Name, Created At, Scheduled At, Status, Source, Amount Spent (Approx)
  • Template details: Template Name, Category and a live preview/image

Status-Specific Actions

  • Completed: real counts populated; Action ⋯ → Download Report
  • Scheduled: engagement counts zero; Action ⋯ → Cancel Campaign (disabled inside T-5 minutes); Download disabled
  • Cancelled: counts zero, shows “Cancelled At”; no actions
  • Failed: shows Failure Reason list (Low balance, Meta down, MyOperator services down); Action ⋯ → Download Report (see Section 6 for full troubleshooting)

3. Exported Campaigns Page

A consolidated list of every report request.

  • Columns: Requested By, Campaign Name, Status, Requested At
  • Status values:
    • “Preparing your file” – generation in progress
    • “Download Now” – CSV ready (link triggers download)
  • Search by Campaign Name (case-insensitive)
  • Data retention: 7 days; only actions updated in that window appear
  • Back to campaigns button for quick navigation

4. Downloaded CSV Structure

The CSV contains one row per recipient with the fields:

FieldDescription
NameRecipient name or blank
Mobile NumberRecipient number
Message StatusSent, Delivered, Read, Replied, Failed, Clicked
Sent AtTimestamp submitted to WhatsApp
Delivered AtTimestamp delivered
Read AtFirst read timestamp
Replied AtFirst reply within 24 h
Reply TypeText, Button, Image, Video, Document
Reply MessageText or button label; “Please refer to the Live chat section” for media replies
Failed ReasonError description if applicable

5. Cancellation & Refund Logic

  • Scheduled campaigns can be cancelled ≥5 minutes before their run time; reserved balance is instantly unlocked.
  • After execution, credit is deducted only for successfully sent messages. Failed rows are automatically refunded after 24 hours.

6. Why Are My Campaign Messages Failing or Undelivered?

If some or all messages in a campaign show as failed or undelivered, check these failure scenarios:

1. Meta's "Healthy Ecosystem" Limit (5 Marketing Messages Cap):
Meta restricts individual WhatsApp users from receiving more than 5 marketing messages per day across all companies on the platform. If a customer has already hit this cap, Meta blocks further marketing messages to that user for that day.

2. Insufficient Credit Recharge Balance:
If the available recharge balance is lower than the total campaign cost, the entire campaign fails upfront.

3. Template Status Issues:
The selected template is not in Approved status.
   - Pending: Under active review by Meta; cannot be sent yet.
   - Rejected: Denied by Meta due to policy violations or category mismatches.
   - Paused: Temporarily halted by Meta because customers reported messages sent with this template as spam or low quality.
   - Deleted: Manually removed by an admin or permanently removed by Meta.

4. Exceeding Account Daily Limit:
Attempting to send to a recipient list larger than your current daily Meta tier.

5. Phone Number or WABA Status Disconnection:
Outgoing messages fail if your phone status is RATE_LIMITED, RESTRICTED, DELETED, or BANNED, or if the WABA status is Unreachable. (In RATE_LIMITED status, incoming messages still work, but outgoing API campaign messages are blocked.)

6. Invalid Numbers / No WhatsApp Account:
Phone numbers are incorrectly formatted, missing country codes, contain stray spaces, or are not registered on WhatsApp.

7. User Blocked or Opted Out:
The recipient has blocked your business number or previously opted out.

Support Debugging Step: Test-send a Utility template to a failing number. If the Utility message delivers but the Marketing message fails, the issue is Meta's 5-message "healthy ecosystem" daily restriction for that recipient.
