Quick Answer
MyOperator refunds follow six stages—Refund Request, Eligibility & Evaluation, Approval, Debit Note & Documentation, Service/Account Closure, and Refund Payout—with individual steps usually completed within 2 hours to 7 days, but the final credit date depends on the payout cycle and how quickly all approvals, documents and closures are finished.
1. Complete Refund Workflow
The full workflow is shown below. A refund is not considered confirmed until every stage is finished and the payout has been initiated.
- Submit the refund request through your Account Manager or the Support Team. The team checks that the request falls under the relevant Refund Policy and Fair Usage Policy (FUP). If the policy sets an eligibility window—such as 30 days from service activation—you must raise the request within that period.
- The request evaluation considers the refund reason, service usage, current account status and all applicable policies. The team may ask for clarifications or discuss the issue with internal specialists to see whether an alternate resolution is possible before any refund is approved.
- If the request satisfies every criterion, it is routed for formal approval. No refund is treated as final until this approval is granted.
- After approval, the billing team issues the required documentation, most commonly a Debit Note. If the Debit Note or any other customer confirmation needs your signature, the process pauses until you return the signed document.
- Where the refund involves cancelling or deactivating the related service or account, that closure is completed now. Because of this step, the service may stop working before you receive the refund.
- Once approvals, documents and any closures are all in place, the payout enters the next scheduled refund cycle and is credited to you on that cycle’s credit date.
2. Typical Processing Timelines
| Stage | Typical Timeline |
|---|
| Refund request initiation | Within 2 hours of receiving the request |
| Initial evaluation / RCA | Generally within the first 1–2 days |
| Refund evaluation / retention process | Up to 7 days, where applicable |
| Debit Note generation after approval | Within 2 working days |
| Service/account deactivation (if required) | Within 4 hours of the necessary billing step |
| Refund payout | According to the applicable payout cycle, after all formalities |
These figures describe how long each internal stage usually takes. They are not a promise of the exact date on which the money will appear in your account—the total turnaround always depends on eligibility, approvals, documentation, customer confirmation and the payout schedule.
3. Common Reasons for Delays
- Additional information or supporting documents are still outstanding.
- The request needs further evaluation or a higher-level approval.
- Refund eligibility is uncertain or a policy clarification is pending.
- A Debit Note or other customer confirmation has not yet been returned.
- Service or account closure has not been completed.
- Payment or billing reconciliation is required.
- The request falls outside the scope of the refund policy.
4. How and Where to Raise Your Request
Email support@myoperator.com or contact your Account Manager to open a new refund case or ask about an existing one. The request will be logged, reviewed and, if necessary, forwarded to the relevant internal team.
5. When to Escalate
- You have not received any status update within the expected timeline after submitting a request.
- The Debit Note or other documents have been issued but the refund is still pending.
- You have completed every required formality but the payout has not occurred.
- There is a dispute about eligibility, billing, payment allocation or the refund amount itself.
- A technical or account issue is blocking completion of the refund steps.
The Account Manager or Support Team will coordinate with Accounts, Technical or any other internal department to resolve the issue and communicate the next steps.
