What are “Recent Activities” in MyOperator — and how do I use them for audits & security?

🎯 Goal: Understand and use Recent Activities to monitor user sign‑ins and session behavior (login time, inactivity duration, IP address) so you can audit access, investigate issues, and keep your account secure.

📚 Table of contents

🧭 When & why to use this

Use Recent Activities to:

  • 🔐 Audit logins (who accessed the account and when)
  • 🕵️ Investigate anomalies (sudden logins from new IPs or long inactivity)
  • 👥 Detect shared credentials (multiple users logging from the same IP/device)
  • Check working hours and session hygiene (idle time vs. active sessions)

📋 Prerequisites

  • Role permissions: You can view user/session information for your account.
  • Time zone awareness: Confirm your workspace time zone (Settings → Account → Time Zone) so timestamps make sense.
  • Retention policy: Know how long activity data is available (varies by plan/region).

Example

User Name

The user who signed in

Matches your user directory

riya.sharma@brand.com

Login Time

Timestamp of the sign‑in event

Uses workspace time zone

2025‑08‑29 10:07:12

Inactivity Duration

Time since the user’s last action during the session

Resets on click/scroll/API action; long durations may be auto‑logged‑out per policy

00:42:19

IP Address

Public IP observed at login

May show NAT/Proxy IP for office networks; location is approximate if shown

203.0.113.42

Device/Browser (if shown)

User agent string or label

Helps spot unusual devices

Chrome 126 · Windows 11

ℹ️ Inactivity Duration updates while the session is active; when a session ends, the final value is stored with the record.

🔎 Filter, search, and export

Filter by

  • 🗓️ Date range (e.g., Last 7 days)
  • 👤 User (specific agents/admins)
  • 🌐 IP address (paste partial IP to match sub‑blocks)

Quick searches (copy‑paste)

203.0.113. # find all logins from this public blockriya.sharma # user email or display name2025-08-29 # specific date

Export

  • Click Export → CSV to download activity for the current filters.
  • Typical CSV columns: user_name, login_time, inactivity_duration, ip_address, device.

Validate it’s working

  1. From a test user, sign out and sign back in.
  2. Open Recent Activities with Today selected.
  3. Confirm a new row appears with your user, the correct Login Time, and your IP.
  4. Leave the tab idle for a few minutes → verify Inactivity Duration increases.

Success looks like:

  • A fresh row with your test user in the selected date range.
  • Inactivity increments until you interact again (then resets).
  • Exported CSV contains the same row with a matching timestamp/IP.

🧪 Examples & use cases

  • Suspicious IP: Multiple admins logging in from an unknown country → investigate credentials, enforce 2FA, and rotate passwords.
  • Shared account: Same user logging in from different cities within minutes → possible sharing; retire shared logins and create unique users.
  • Idle cleanup: Users sitting idle > 60 minutes → shorten session timeout policy.

🛠️ Troubleshooting

No entries appear

  • Check your Date Range and User filter.
  • Ensure your role can view account‑wide activity.

IP address looks wrong or same for everyone

  • Office networks often show a shared NAT/Proxy IP. Compare against remote logins for variety.

Inactivity Duration never changes

  • The user may be fully logged out; test with a new login.
  • Some background tabs pause timers; keep the tab focused.

Times look off

  • Verify workspace time zone.
  • If your org uses SSO, check the IdP’s time sync (NTP) and user time zone settings.

⚖️ Edge cases & limitations

  • SSO: With Single Sign‑On, password events aren’t shown here; only application‑level logins are listed.
  • Proxies/VPNs: IP may reflect egress gateways, not physical location.
  • Retention: Very old records may be purged per plan/policy.
  • Mobile logins: May appear with different device strings vs. desktop.

🔒 Security & privacy

  • IP addresses can be personal data; restrict access to admins.
  • Do not share raw CSVs outside secure channels; mask emails/IPs in tickets.
  • Use 2FA and unique logins to improve audit fidelity.

  • Example user/email and the date/time you expect to see.
  • Whether you use SSO, and your workspace time zone.
